Duties

The Administrative Support Assistant will:

  • Receives visitors and incoming telephone calls. Responds to inquiries or direct the caller to a staff member who can provide assistance.
  • Prepares a variety of materials using a personal computer such as briefings, tables, forms, and viewgraphs. Uses advanced functions of a wide range of office automation software to perform such tasks as preparation of reports and briefing documents, maintenance of fiscal records, and tracking the status of a number of important projects assigned to the office.
  • As appropriate, process requests for identification cards and security clearances.
  • Schedule calendars and conference rooms for office staff as requested. Prepares and maintains conference room for meetings, including audio-visual set-up and documentation as needed.
    Takes appropriate action to obtain office equipment and replacement of office supplies.
  • Provides input in matters concerning internal administrative issues and is responsible to follow up on commitments made in related meetings to ensure that pending issues are addressed by the appropriate personnel.Provides input and recommendations for improvements to office processes.
  • Ensures that confidential records and personally identifiable information (PII) are protected in accordance with AOC requirements and public law.
  • Assists staff with Web/TA time and attendance reporting.
  • Works with Seniorstaff and theCorrespondence Review Management Specialist by inputting data into the Audit Portal and Communications Management Record (CMR) systems and serves as a back-up to the Specialist for CMR processes.
  • Works with the Correspondence Review Management Specialist by inputting data into the Communications Management Record.

To be employed by the Architect of the Capitol in a paid position, an individual must meet one of the categories below:

  • A citizen of the United States;
  • A person who is lawfully admitted for permanent residence and is seeking citizenship as outlined in 8 U.S.C. 1324b(a)(3)(B);

  • A person who is currently an officer or employee of the Government of the United States.

Key Requirements:

Qualifications

You must meet the United States Office of Personnel Management's (OPM) qualification requirements for the advertised position. You must meet all eligibility and qualifications requirements by the closing date of the job announcement. Specialized experience:Is experience that has equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level.

Candidates for the GS-07 grade level must have at least 52 weeks of specialized experience equivalent to the next lower (GS-06)grade level in the Federal service.

Specialized experience is defined as having experience: (1) Supporting high-level management in a confidential environment to include managing schedules; (2) Using Microsoft Office suite and other software programs to support and manage administrative activities.

Candidates for the GS-08 grade level must have at least 52 weeks of specialized experience equivalent to the next lower (GS-07)grade level in the Federal service.

Specialized experience is defined as having experience: (1) Supporting high-level management in a confidential environment to include managing schedules; (2) Using Microsoft Office suite and other software programs to support and manage administrative activities; and (3) Providing customer service in person, by phone and in writing.

Candidates for the GS-09 grade level must have at least 52 weeks of specialized experience equivalent to the next lower (GS-08)grade level in the Federal service.

Specialized experience is defined as having experience: (1) Supporting high-level management in a confidential environment to include managing schedules; (2) Using Microsoft Office suite and other software programs to support and manage administrative activities; (3) Providing customer service in person, by phone and in writing; and (4) Updating and maintaining an automated records management system.
